A deadline needs context

A date without its source can create more work than it saves. When an obligation is recorded, keep the supporting document, responsible party, due date, status, and reason together.

Common sources of an insurance-related obligation

  • A certificate request
  • A lender or landlord requirement
  • A license or registration record
  • A policy term or endorsement
  • A brokerage service commitment

Distinguish evidence from interpretation

Software can surface a date or phrase from a document. A person may still need to confirm whether it applies, whether it has been satisfied, and what action is authorized. Record that review state rather than presenting extraction as a legal conclusion.

Close the loop

Completion should leave an auditable record: what was done, when it was done, who did it, and which evidence supports the status. If the obligation changes, keep the earlier history instead of silently replacing it.
