Renewal readiness is a workflow, not a reminder
A calendar alert says a policy is expiring. It does not say whether the account is ready. Readiness comes from current evidence, a clear owner, and enough time for the licensed team to evaluate options.
Start with the date and the dependencies
Record the expiration date, any known market deadlines, and the evidence the brokerage expects to need. Examples may include updated applications, schedules, valuations, loss information, and signed authorizations.
Separate three states
- On file: the evidence exists, but may not have been reviewed.
- Needs review: the evidence is readable but requires a person to confirm its meaning or resolve a conflict.
- Ready: the accountable reviewer has confirmed the required evidence for the defined step.
Keep the client’s next action specific
“Send renewal information” creates uncertainty. A better request names the document or answer needed, explains why it matters, gives a due date when appropriate, and shows what happens after it is received.
Preserve the decision trail
At the end of the renewal, record the reviewed sources, recommendation, approval, and final evidence. That history makes the next service request and the next renewal easier to understand.
