Insurance operations guide

Use source-aware data in insurance decisions

Educational information only. Confirm coverage, compliance, legal, and financial decisions with the appropriate licensed professional.

Begin with provenance

A vehicle value, payroll figure, premium, limit, or renewal date can come from several places. Before using it, ask where it came from, when it was effective, and whether someone reviewed it.

Prefer a conflict over a silent overwrite

If an AMS export, policy PDF, client update, and market data source disagree, keep the competing values visible. The accountable person can then decide which value is appropriate for the specific workflow.

Keep modeled outputs separate

A market estimate, scenario, or automated extraction is not the same as a carrier quote, bound policy, accounting entry, or lender offer. Label modeled and simulated results where they appear.

Make the decision reproducible

The record should show:

  • the question being answered;
  • the sources considered;
  • material conflicts or missing information;
  • the reviewer and authority boundary; and
  • the action that followed.

That structure makes the data more useful without asking the system to pretend it can make a licensed or financial decision on its own.
